Guideline to Students Hostel Management System (HMS)


Hostel Booking

  • To make changes if any to the allotted room based on valid reasons
  • To club the inmates of any two partially filled rooms into one room as per room type selected by the student after completion of the entire booking process.
  • To approve or reject the request for Outpass.

Guide to Hostel Management System (HMS)

Option 1 : Semester fee /Annual fee payment

  • Book your hostel at the earliest through HMS.
  • Use your VTU/VTP/VTA No. as your username and SID No. as your password to login to the system.
  • You can change your password at a later date, as per your liking.
  • The student may select the hostel, followed by the block and then the floor.
  • After selecting the room type and the room number, HMS will display the occupancy status of the room.
  • Student can select the room number based on the availability. If the room is occupied, the room number will not be displayed.
  • After selecting the room number, the student can proceed to pay the hostel fee(Full/Part) online using credit card/debit card or net banking.
  • The payment confirmation mail will be sent by the payment gateway (Atom Tech).
  • On successful payment, the booking details will be displayed in the dashboard under room details.
  • The room will be confirmed only on the receipt of the full/part payment of the hostel fee against the selected room type
  • The student/ parent using HMS to book the room should furnish their mobile number and email id , on completing the payment process they will receive an instant message regarding booking status to the mobile number and email id furnished
  • The booking confirmation mail(Vel Tech) will also be sent to the registered email id.

Option 2 : Two stage payment (part payment of SEM Fee) for STANDARD ROOMS

  1. Use your VTU/VTP/VTA No. as your username and SID No. as your password to login to the system.
  2. You can change your password at a later date, as per your liking.
  3. Choose the tab "Two Stage Payment" to make the part payment of SEM Fee (Rs. 20,675/-) on two different days.
  4. The tab will redirect you to the ATOM payment gateway. Pay Rs. 20,675/- (plus GST) using your Debit Card/ Credit Card / Net banking.
  5. After the completion of first installment, student/Parent will receive SMS /Email from ATOM to their registered mobile number /email id confirming the Receipt of the amount. To pay the balance amount of Rs.20, 675/- choose the tab "Two Stage Payment” once again on another day and complete the two stage payment process.
  6. On successful payment of Rs.41,350 /-, click "Book Hostel" tab to book the desired STANDARD ROOM. The Option of booking the desired standard room will be possible only on completion of step 4 & 5.
  7. The student/ Parent may select the hostel, followed by the block and then the floor.
  8. After selecting the room type and the room number, HMS will display the occupancy status of the room.
  9. Student /Parent can select the room number based on the availability. If the room is occupied, the room number will not be displayed.
  10. On selecting the desired room they will receive an instant message regarding booking status to the mobile number and email id furnished.

Guide to Hostel Out Pass
  • Use your HMS Dashboard("My Profile" tab) to Confirm your profile and to Upload your passport size photographs and your parents. Note : The photograph should be in jpeg/png format and file size should not exceed 50 KBs.
  • On completion of the above step a New Tab("Outpass Request") will be added in your HMS Dashboard.
  • Out Pass request can be submitted 3 days prior to the actual day of outing. If your Out Pass request is approved by the Hostel Warden / Dean Hostel, you will receive an E-mail to your registered E-mail ID and a SMS to your registered Mobile Number. You should show this E-mail/SMS at the security gate before leaving the hostel.
  • You should report back to the hotel as per the Date and Time indicated in the Out Pass E-mail. If you are not to able to report back to hostel as per the time indicated in the out pass email, You should submit a request for Out Pass Extension at least 6 hours before the actual IN time.
  • If you do not report back to the hostel as per the IN Time / Extension Time then it will be considered as Out Pass Violation. An E-mail will be sent to your registered E-mail ID to indicate the Out Pass Violation, and your next Out Pass Request will be possible only after the approval of Dean Hostels.
  • NOTE : If your previous pass is Not Approved (OR) Not Reported, then You will not be able to avail a New Out Pass. Also you can check the status of your out pass(es) in your HMS dashboard itself("Outpass Request" tab & click "My Passes" link).
