FAQ for Incoming Exchange Students
How to Apply?
The application can be submitted either online or offline. The application must be processed only through the Home University International Office.
In case of online Application, the submitted application to be printed and to be signed by the International Office executive before sending to [email protected]
Do I need to pay any fees?
Exchange students from Partner University need not pay any Tuition Fee. The students have to Pay for only accommodation and food for their stay at Vel Tech Hostel.
Is there any scholarship for students?
No stipend or Scholarship will be provided unless otherwise, it is indicated specifically and confirmed in advance.
Can I opt to work in more than one department?
No, the student shall be allotted for course works and/or project work offered by any one department. But, the Exchange student may give the preferences of the department and it is advised to select the department that best fits the students major.
Do I need to send hard copies of application forms?
No, Soft copy of Application form may be sent along with supporting documents through exchange coordinator / international office at home university by email.
How will I be informed of my admission decision?
The notification for the admission decision will be sent by email to the applicant and home university international office. Original Admission letter will be sent to Home International Office for Visa purposes, if required.
How much are the living expenses? What is covered?
For the shared accommodation (2 in 1 AC Room) with a double bed, the cost is 150 Euros/Month and for Single accommodation (Separate AC room), the cost is 250 Euro/Month.
The above charges cover airport transfers, Indian Food, a/c accommodation, Wi-Fi, access to Gym and transport between the accommodation and university.
How do I pay living expenses?
The living expenses shall be paid on arrival in INR (Indian Rupees) to the University account.
How do I convert my currency to INR?
Vel Tech International Office will arrange authorized agent to visit campus for money exchange with minimum of 200 Euro. Alternatively, the currency exchange agent contact details may be collected from International Office.
Conversion at airport or through any other agent may also be done, but it may incur additional conversion charges.
Whom should I contact on arrival at Chennai airport?
Member from Directorate of International Relations may be scheduled for pickup services and contact detail of member receiving will be shared at least two days before the scheduled departure. You should send arrival details (such as Carrier Name, Flight Number, Date and Time of arrival) at-least 7 working days in advance.
Where do I report on arrival?
You should report to Directorate of International Relations within 24 hours of your arrival. Mr. Tamil (Head – Student Exchange) may be contacted through his mobile +91 96000 94306 (WhatsApp also).
How do I find my accommodation?
In house campus accommodation: Will be allocated before your arrival to India. Accommodation In-Charge Mr.Arun (+91 96005 70625). Airport pick up vehicle will drop you at the accommodation.
How to reach the accommodation place from Airport?
Our Teammate scheduled for pick up services will bring you safely to the accommodation place.

Alternatively, you can reach By Taxi: 39 km and takes around an hour. Pre paid taxi services are available at Airport terminals.
What is the immigration process / formalities on my arrival at Vel Tech?
On your arrival, Foreigner Regional Registration Offices (FRRO) procedures have to be completed and it is responsibility of the Foreigner to complete the process. Directorate of International will assist for all these process.
- Form C (within 24 Hours of your arrival)
- Form S (within a week of your arrival)
- Registration in e- FRRO Portal (If Visa Validity is more than 180 days or if Visa endorsed with Registration required within 14 days of Arrival).
The procedures will be taken care of by our Directorate of International Relations in your presence.
Do I get Wi-Fi access in my Hostel and in the University Campus?
Yes, User id and password for the access to Wi-Fi at Hostel will be shared by Hostel In charge on your arrival. Details on campus Wi-Fi will be shared by our Teammate on your arrival at campus
How do I get a SIM card?
Our Teammate will assist in getting a SIM card on completion of FRRO Procedures. A valid passport copy and photo are mandatory for getting a SIM card.
Advice on before arrival (things to be brought)
The accommodation is fully furnished. Hence you need to bring only personal requirements like cloth, toilet items, laptop, etc.
What kind of food will I get at the Hostel and at University?

Where can I buy basic things?
From Small Shops available nearby Hostel or from Supermarkets for which one-time vehicle facility shall be arranged on your arrival.
What are the facilities available in the Hostel?
Table Tennis, Gym, Common Washing Machine (Laundry Facility), Wi-Fi, AC Room Equipped with TV, Fridge and Water Heater.
Can I work on- or off-campus?
Exchange students are not eligible to work in India
Is there someplace on campus I can go to if I am feeling sick?
Vel Tech Dispensary is available inside the campus to treat minor health issues / first-aid. In the event of Major health issue, ambulance facilities are available to go to reputed hospitals (Medical expenses must be taken care of by students through insurance / direct payment)
